Salary Range: $74,400.00 - $81,700.00

Position Summary This role divides time between the management of the Brain and Mind Institute fellowship training program and the Neuroscience graduate teaching program. This role develops systems for the tracking of budgets for each program and ensures each trainee meets the requirements for advancement and graduate degree programs.
Job Responsibilities - Administer the process for the research resident position.
- Advertises the graduate program on Internet and directly to national institutions. Processes application information, coordinates interviews and organizes admissions. Meets with students to discuss academic progress, course & lab rotation selection, etc
- Hires and supervises personnel needed for execution of all activities related to training programs within the Institute.
- Manages the Leon Levy Fellowship (LLF) program including management of $1.5M budget; oversee meeting organization, manage compliance issues, assist Fellows with administrative activities, manage report preparation, oversee data collection for evaluations.
- Organizes graduate program recruitment and retreat. Negotiates terms and review vendor contracts related to recruitment and retreat events. Assist with contract revisions and Certificate of Liability Insurance as needed.
- Reviews and revises program policies and procedures as applicable to external changes. Creates and maintains tracking system of all PhD candidates to insure timely completion of graduate school requirements and data management purposes.
- Coordinates grant applications, including budget preparation, training faculty other support pages, bio-sketches, mentoring history, coordinates submission, ensures deadlines are met. Coordinates grant preparation and progress reports.
- Lead all facets of billing revenue cycle processes. Responsible for updating changes to fee schedules annually and as needed. Oversee the operations of billing which includes pre-billing and accounts receivable follow up, and reimbursement management.
- Nominates new faculty members to membership in Graduate Program in Neuroscience. Ensures program web site updates. Processes all speaker reimbursements. Interacts with guest scientists and arranges for visit. Advertises seminars internally & via the web
- Schedules review meetings and updates records of students' grades and evaluations, including tracking laboratory rotations. Transcribes and proofreads documents.
Education - Bachelor's Degree in related field
Experience Master's degree is preferred.
Approximately 2+ years experience in finance or health care administration.
Knowledge, Skills and Abilities - Excellent organizational and interpersonal skills.
- Ability to organize and implement both short and long term projects.
- Proficiency with MS Word, Excel and software programs.
- Examples include logistic management of course curricula and seminar series, research, documentation, writing contributions to and overseeing the preparation of program training grant applications, progress reports, and communications materials.
- Advanced ability to effectively multi-task to serve the various projects and situations.
- Must work independently, making logistical decisions on a daily basis for the operation of these training programs, including budget management.
- Ability to develop and maintain databases for the fellow trainees and Graduate Research Associate programs.
